Safeguarding & Child Protection Policy

LTRW Tuition Academy
Effective Date: 18 February 2026

1. Our Commitment

LTRW Tuition Academy is fully committed to safeguarding and promoting the welfare of children and young people. The safety, dignity and well-being of every student is paramount.

Our ethos, Disciplina et Dignitas, extends to ensuring that all learning environments are secure, supervised, and professionally managed.

2. Safer Recruitment & Professional Standards

All tutors:

  • Hold Enhanced DBS clearance

  • Have a minimum of three years’ classroom teaching experience

  • Maintain professional boundaries at all times

  • Adhere to safe working practices

3. Tuition Environments

Tuition may take place:

  • In students’ homes

  • In approved local venues (e.g., private library meeting rooms)

  • In future dedicated Tuition Centres

 

All environments are selected to ensure safety, visibility and suitability for learning.

 

4. Arrival & Collection Procedures

 

To ensure the highest safeguarding standards:

  • All children must be accompanied to and from tuition sessions by a parent, legal guardian or authorised adult.

  • LTRW does not operate a drop-off or unsupervised waiting policy.

  • Parents remain responsible for their child before and immediately after each session.

 

If a parent, guardian or carer is unable to collect their child:

  • Formal arrangements must be made in advance.

  • Parents must notify LTRW via email and/or phone call confirming:

    • The full name of the authorised adult collecting the child

    • The relationship to the child

    • Contact details where necessary

 

No child will be released to an unknown individual without prior written confirmation.

A child under the age of 16 is not permitted to collect another child from LTRW Tuition Academy under any circumstances.

5. Trips, Workshops & Academy Events

 

From time to time, LTRW may organise:

  • Educational workshops

  • Parent forums

  • Scholar evenings

  • Cultural or academic trips

 

Safeguarding during such events includes:

  • Clear supervision arrangements

  • Pre-event communication with parents

  • Defined start and finish times

  • Risk assessment, where appropriate

 

For external trips or events:

  • Parents will be formally invited.

  • Children must be accompanied by their parent or legal guardian unless explicitly agreed otherwise in writing.

  • LTRW does not assume unsupervised transport responsibility.

 

Any alternative arrangements must be agreed in advance and confirmed in writing.

 

6. Online Safety

 

Where tuition is delivered online:

  • Secure platforms are used.

  • Parents should ensure an appropriate, supervised environment.

  • Sessions should take place in a visible and suitable space within the home.

 

7. Reporting Safeguarding Concerns

 

If a safeguarding concern arises:

  • It will be documented appropriately.

  • Where required, relevant authorities will be contacted in accordance with UK safeguarding legislation and guidance.

8. Professional Boundaries & Communication

LTRW Tuition Academy maintains clear professional boundaries between tutors, students and families to ensure safeguarding standards are upheld at all times.

All communication regarding tuition must take place through agreed and approved channels.

 

Parents and guardians must not:

  • Share their personal mobile numbers, direct contact details or private communication channels with individual tutors without prior written permission from the Head of LTRW.

  • Request or initiate private, unsupervised communication outside the Academy’s agreed communication structure.

 

Likewise, tutors are not permitted to:

  • Provide personal contact details directly to students.

  • Engage in private or informal communication outside authorised platforms.

 

All scheduling, safeguarding concerns, changes to arrangements and collection notifications must be communicated formally via the approved Academy contact details.

 

This ensures:

  • Clear professional oversight

  • Appropriate safeguarding boundaries

  • Transparency in communication

  • Protection for students, families and tutors

 

Any breach of communication protocol may result in a formal review of tuition arrangements.

 

9. Shared Responsibility

 

Safeguarding is a shared responsibility between LTRW and parents.

 

Parents agree to:

  • Provide accurate emergency contact details

  • Inform LTRW of any relevant medical or behavioural considerations

  • Adhere to collection and supervision policies

 

10. Review of Policy

 

This policy will be reviewed periodically to ensure alignment with current safeguarding legislation and best practice guidance.
