Booking, Cancellation &
Academic Standards

Effective Date: 18 February 2026

These terms govern the provision of academic tuition and mentorship delivered by LTRW Tuition Academy (“LTRW”, “the Academy”, “we”, “our”).

By enrolling a student with LTRW, parents and guardians confirm that they have read, understood and agreed to the following policies and standards.

1. Enrolment Structure

LTRW Tuition Academy operates a structured, termly enrolment model, reflecting the cumulative and sequential nature of academic development.

Each term represents a complete cycle of:

  • instruction

  • guided practice

  • assessment and review

Enrolment secures a student’s place for the full duration of the agreed term.

In select cases, a shorter initial placement (4–8 weeks) may be offered following assessment. These placements are limited, subject to availability, and designed as a transitional entry point into the full programme.

The Academy operates a limited cohort model to maintain high academic standards and personalised attention.

2. Booking, Payment & Forward Planning

Term Enrolment

  • Term fees must be paid in advance of the first session of the term

  • A student’s place is confirmed only upon receipt of payment

  • Enrolment secures the allocated schedule and tutor for the full term

To ensure continuity, LTRW will confirm continuation into the next term during the latter part of the current term.

Failure to confirm within this period may result in the student’s place being released.

Initial 4–8 Week Placements (Where Offered)

  • Fees must be paid in advance of the first scheduled session

  • These placements are limited and do not guarantee continuation at the same schedule

Where applicable:

4-week placements

– continuation is typically reviewed during week three (or week four)
– pre-booking fees for the next block are requested during week three

– payments are made via bank transfer, LTRW secure payment link, or Direct Debit

8-week placements

– continuation is typically reviewed during week seven

​– pre-booking fees for the next block are requested during week seven

– payments are made via bank transfer, LTRW secure payment link, or Direct Debit

12-week termly placements

– continuation is reviewed towards the end of term
– pre-booking for the following term is requested two weeks prior to the end of term

​– payments are made via bank transfer, LTRW secure payment link, or Direct Debit

This forward planning allows the Academy to:

  • prepare structured lesson sequences

  • confirm tutor allocation

  • plan academic progression

  • maintain uninterrupted delivery

Additional specialist provision (for example phonics intervention or targeted academic support) may incur an agreed adjustment to fees.

3. Tutor Absence & Substitute Tutor Policy

LTRW aims to deliver all sessions as scheduled.

  • Where a tutor is unavailable, a suitably qualified substitute may be provided

  • Where this is not possible, the session will be rescheduled within the same term or placement period

  • Where rescheduling is not feasible, an equivalent replacement session or credit may be offered

Tutor absence does not constitute grounds for cancellation or refund of enrolment.

4. Missed Sessions & Student Absence

Consistent attendance is essential to academic progress.

  • Sessions missed due to student absence remain chargeable

  • Where advance notice is provided, LTRW may offer a catch-up session where scheduling permits (not guaranteed)

  • Sessions missed without notice are not recoverable

Students arriving late will finish at the scheduled time.

5. Behaviour & Learning Environment

LTRW maintains a structured, disciplined and respectful academic environment.

Students are expected to:

  • engage respectfully with tutors

  • participate constructively

  • contribute positively to the learning environment

Where behaviour compromises learning:

  • temporary suspension may occur

  • continued concerns may result in the withdrawal of the student’s place

 

Fees for the current term or placement remain applicable.

6. Academic Progress & Assessment

LTRW places strong emphasis on structured academic development and measurable progress.

Tutors may:

  • assess current attainment

  • identify learning gaps

  • deliver targeted instruction

  • review progress periodically

Guidance may include:

  • examination technique

  • reading comprehension

  • writing development

  • study habits and organisation

While LTRW provides structured academic support, outcomes cannot be guaranteed. Progress depends on attendance, engagement and independent study.

7. Academic Integrity & Independent Study

LTRW promotes discipline, honesty and independent learning.

Students are expected to:

  • complete tasks independently where appropriate

  • engage honestly with academic work

  • maintain consistent study habits

Homework and independent study are integral to reinforcing learning and supporting long-term progress.

Parents are encouraged to support consistent routines outside of sessions.

8. Notice Period

A minimum of one month’s notice is required for:

  • planned holidays

  • extended absence

This enables responsible management of tutor allocation and student placements.

9. Cancellations

  • Cancellations with less than 48 hours’ notice are non-refundable

  • Emergency circumstances may be considered at the Academy’s discretion

Term enrolments are non-refundable once commenced, except where required by law.

10. Tutor Cancellation

Where LTRW must cancel a session:

  • a replacement session or suitable alternative will be arranged

  • where not possible, a credit or refund may be offered

11. Late Arrival

Sessions will conclude at the scheduled time regardless of arrival time to maintain the Academy timetable.

12. Safeguarding Statement

LTRW Tuition Academy is committed to providing a safe and supportive learning environment.

  • All tutors hold Enhanced DBS clearance

  • Tutors have a minimum of three years’ teaching experience

  • Sessions are delivered in appropriate learning environments

The Academy operates in accordance with recognised safeguarding principles.

13. Data Protection & Confidentiality

LTRW respects the privacy of students and families and processes personal data in accordance with UK data protection legislation.

Information collected may include:

  • student details

  • parent contact information

  • educational records

  • scheduling data

This information is used solely for:

  • delivery of services

  • safeguarding

  • administration

Information will not be shared with third parties except where required by law or safeguarding obligations.

Acceptance of Terms

By enrolling a student with LTRW Tuition Academy, parents and guardians confirm that they:

  • have read

  • understood

  • and accepted
